Privacy Policy

This notice explains what Green Room collects, why it is used, who can access it, and the choices available to account holders and people whose information is placed in a production workspace.

Who operates Green Room

Green Room is operated by Big Lettuce Entertainment (“Green Room,” “we,” “us,” or “our”). Privacy questions and requests may be sent to contact@biglettuceentertainment.com.

Information we process

Account and profile information. We process email addresses, names, profile images, professional roles, biographies, locations, and links that users choose to provide.

Production workspace information. Users may enter or upload scripts, schedules, budgets, accounting records, receipts, contracts, rights documents, call sheets, contact details, emergency contacts, location information, dietary accommodations, and other production materials. These materials can contain personal information and confidential creative or commercial information. Green Room is not intended for Social Security or national identification numbers, completed tax forms, bank-account details, identity documents, or medical records.

Billing information. Stripe processes payment-card details. Green Room stores limited customer, subscription, price, and status identifiers, but does not store full card numbers.

Technical and security information. Hosting, authentication, and security systems may process IP addresses, device/browser information, timestamps, session identifiers, security events, and error logs.

How information is used

  • Provide, secure, troubleshoot, and improve the service.
  • Authenticate users and enforce project roles and permissions.
  • Store, organize, export, and send production materials at a user’s direction.
  • Process subscriptions and transactional email.
  • Detect abuse, malware, unauthorized access, and security incidents.
  • Comply with law and enforce our agreements.

Project administrators and other people’s data

Project owners and collaborators decide what information they place in a workspace and who is invited. When a user uploads information about cast, crew, vendors, subjects, or other people, that user is responsible for having an appropriate legal basis and providing any notices or permissions required by law. Green Room acts as a service provider for that workspace information.

Who receives information

Information may be available to authorized members of the relevant project and to vendors that help operate Green Room, including Netlify for application hosting, Supabase for authentication/database/storage, Resend for email delivery, Stripe for billing, and a private malware-scanning provider when configured. We may also disclose information when required by law, to protect rights or safety, or as part of a business transaction with appropriate safeguards.

We do not currently sell personal information or share it for cross-context behavioral advertising. If that practice changes, we will update this notice and provide legally required choices before the change takes effect.

Storage, security, and international processing

Green Room uses access controls, encrypted transport, private storage, short-lived download links, upload quarantine and scanning, audit records, and other safeguards intended to protect information. No online service can guarantee absolute security. Service providers may process information in the United States and other locations where they operate.

Retention and deletion

Account and project information is generally retained while an account or project remains active. Temporary email attachments and rejected uploads are designed to be removed promptly. Security records may be retained as reasonably necessary to detect abuse, investigate incidents, and meet legal obligations. Backups may persist for the provider’s documented backup-retention period before aging out.

Account holders can delete projects they own, transfer project ownership, and request or perform account deletion from Settings. An account cannot be deleted while it owns a project or has an active subscription. Some information may be retained when legally required or necessary to establish, exercise, or defend legal claims.

Your choices and rights

Depending on location, individuals may have rights to access, correct, delete, or obtain a copy of personal information, or to object to or restrict certain processing. Send requests to our contact address. We may need to verify identity and, for workspace information controlled by a production, may direct the request to the relevant project owner.

Children

Green Room is a professional production service and is not directed to children under 13. People under 13 may not create accounts. Users must not knowingly submit a child’s personal information without all legally required authority and safeguards.

Changes

We may update this policy as the service or law changes. Material changes will be posted here with a revised effective date and, when appropriate, communicated to account holders.
