Invoices

Crew get paid by invoice, and the invoice is usually the last thing anyone builds — a spreadsheet from three jobs ago with the wrong production name still in the header. This one is a real form: fill it in, download the PDF, send it to the production's accounts-payable desk.

Built for the way film work is actually billed

Most invoice generators assume you sold either a product or an hour. Production work is neither: it is day rates with a half-day at the end, a kit fee that is flat regardless of days, mileage at a per-mile rate, and per diem per day — often all on the same invoice.

Each line here carries its own unit, so a rate can be per day, per week, per hour, per mile, each, or flat, and the line reads the way you would say it out loud. Dates are free text because a line covers a span the way crew write it, like "Oct 10-14" or "prep + 3 shoot days", which no date picker models well.

  • Day, week, hour, mile, each, and flat-rate line units
  • Quick-add lines for day rate, prep, travel, overtime, kit fee, equipment rental, mileage, and per diem
  • Production title and PO number on the document, where accounts payable looks for them
  • Deposit already received subtracted to a balance due
  • Due on receipt, Net 15, Net 30, and Net 45 terms, with the due date calculated from the issue date

It runs in your browser, with no account

The generator is a page, not a signup funnel. Nothing you type is uploaded: the draft is held in your own browser's storage and the PDF is rendered on your machine, which is also why clearing your site data clears the draft.

That means no email address to hand over before you can see the tool, and no watermark or paywall on the file you download. Your own logo goes at the top of the document, not ours.

The PDF matches the rest of your paperwork

The invoice prints on the same document system as Green Room call sheets, budgets, and accounting reports — same masthead, same typography, same registration bar down the top edge. A crew member sending a call sheet on Monday and an invoice on Friday sends two documents that clearly came from the same desk.

What it costs

Nothing. The generator and the PDF download are free, with no trial timer and no card. Green Room itself is free too: if you want invoices kept alongside a production's schedule, contacts, and budget rather than in one browser, start a project.

Common questions

What should a film production invoice include?
Your name or business and address, the production company you are billing with an attention line, an invoice number, the issue date and due date, the production title and PO number if you were given one, itemized lines showing what you did with dates, quantity, unit, and rate, the subtotal, any tax, any deposit already received, the balance due, payment terms, and how to remit payment. The generator has a field for each of these.
Do I need an account to use the invoice generator?
No. It runs entirely in your browser with no signup, no email address, and no watermark on the downloaded PDF.
Where is my invoice saved?
In your browser's local storage on the device you are using, and nowhere else — nothing is uploaded to Green Room. It will still be there when you come back in the same browser, but clearing your site data or switching devices loses it. Download the PDF for anything you need to keep.
Can I send the invoice or take payment through Green Room?
Not from this page. It produces a PDF that you attach to your own email to the production's accounts-payable contact, and payment is arranged directly between you and them using the remit-to details you put on the invoice.
How do net terms work on a production invoice?
Net 30 means payment is due 30 days after the invoice date, which is a common term on commercial and studio productions; Net 15 and due-on-receipt are more typical on small independent jobs. Pick the term and the due date is calculated for you, so the date on the document can never contradict the term next to it.
Does this handle sales tax?
There is a tax rate field that applies to the invoice subtotal after any discount, and the calculated amount prints as its own line. Which rate applies to your services, in your jurisdiction, is a question for your accountant — Green Room does not determine that for you.

The rest of the production file

Invoices is one part of it. Everything below shares the same underlying production data, which is the point.
